Our prices are lower than you would expect to pay for hotel or similar conference rooms, so represent excellent value for money! We may, at our discretion, offer discounted rates to charities or similar organisations.
Charges are by the room and session. There are 3 sessions per day:
Morning
Afternoon
Evening
08:30 – 12:30
13:30 – 17:30
18:30 – 22:30
The King Alfred and Buttercross Rooms can be booked on an hourly basis if we have good availability, with a minimum booking of 2 hours. Bookings for 30+ people will need to be for All Rooms, as we find such users tend to need to need the whole space for break-out sessions, storage of items etc
Payment is to be made against invoice – which will be supplied to you soon after booking – by bank transfer ONLY, to:

Payment should be in our account no later than 10 days prior to the date of the booking. If you book with less than 10 days to go, immediate payment is required. Arrangements can be made for long-term bookings to be paid instalments.
If you cancel giving 5-9 days’ notice, you will receive a 50% refund of fees paid.
If you cancel giving less than 5 days’ notice, no refund will be due.
The above will apply if for any reason your payment is delayed.
Bookings are for the date you requested originally and are not normally moveable once the 10-day deadline has passed. If you ask to postpone your booking with less than 10 days to go, you will normally need to book and pay afresh. However we may allow you to postpone a) paying a small fee (to be levied at our discretion or b) without penalty, at our discretion. We will look the circumstances in each case. You should normally be sure of the date you require and not assume it can be postponed.
In the unlikely event that we cancel your booking, our liability is limited to refunding fees paid.
Users will be given keys/codes to access the rooms. They must lock up carefully if the last to leave. We regret that due to the historic nature of this building and its layout, it is not a suitable venue for disabled clients.
Use of the rooms is only for the times/dates booked. There is no right of occupation outside of these. No licence or lease is created by virtue of booking the rooms with us.
Unless you book all rooms, you should be aware there may be other users in rooms not booked by you. This may involve some friendly cooperation.
You may bring in your own refreshments, but should dispose of waste in our bins. Alcohol may be served to users and their guests provided that it is not paid for.
